How to Manage Tasks and Follow-Ups in Menthory


Menthory CRM includes intelligent task scheduling and automation helpers built directly into client profile logs. This enables you to track follow-ups, maintain historical interaction data, and auto-generate client communication seamlessly.


Step 1: Locate the Task Assignment Tool

  1. Open the profile of the company or client you are managing.

  2. Look at the right-hand Logs activity feed sidebar. Under recent updates (e.g., Contact Creation), you will find an AI-prompted "Next Step Suggestion" banner.

  3. Click the orange Create button attached to that suggested milestone.


Step 2: Schedule the New Task

A Schedule a Task form drawer will slide open on the right side of the screen:

  1. Title & Description: These sections automatically populate with relevant milestones based on your account activity (e.g., "Initial outreach to Romeo Avagyan"), but can be edited manually if needed.

  2. Date & Time: Click into the Date field to pull up a calendar dropdown and choose your deadline. Set your targeted follow-up time in the Time field.

  3. Related Clients / Contacts: Ensure the correct workspace entities and points-of-contact are mapped.

  4. Owner: Designate the team member responsible for finishing the task.

  5. Click the orange Schedule button at the bottom of the drawer.

A green "Success - Schedule a Task" alert will briefly appear at the top-right corner.

Step 3: Track and Progress Task Statuses

The scheduled assignment will now appear inside the main workspace under the client's Tasks tab. You can easily adjust its progress using the status buttons on the card layout:

  • To Do: The default state for upcoming assignments.

  • In Progress: Click this when a team member actively begins work on the task.

  • Done: Mark this once the follow-up milestone is achieved.

Step 4: Auto-Generate Follow-Up Drafts (AI Helper)

Menthory features an AI background agent that automatically reads client file data to help you draft contextual responses.

  1. Look below the task title and click on the Draft Message (Generate AI-powered reply) module card button.

  2. An overlays popup screen titled Draft Message will appear. Click the golden Generate button.

  3. The AI will quickly analyze client activity and provide multiple outreach template options ranked by contextual fit (e.g., Fit: 98% or Fit: 92%).

Step 5: Export or Send the Outreach Draft

Once you select your preferred messaging template block, choose one of two execution paths:

  • Send email: Automatically formats the draft text directly into a connected email window to communicate with your client.

  • Copy: Click the Copy button to copy the text block to your clipboard so you can paste it into alternative messaging channels.
